Scope of Position
The HR Officer will be responsible for providing clerical support to the HR Department and employees as it relates to human resources activities, policies, processes and procedures.
1.1 Distributing HR Forms
(a) Distributing the Death-In service form and payroll form to Finance
1.2 Completing HR Forms
(a) Ensuring that new recruits complete the HR Information on the Intranet
1.3 Work Permits
(a) Obtaining work permits as necessary
(b) Maintaining work permit log (spread sheet)
2.1 Assisting with physical File Management
(a) Obtaining training records / certificates of previous training or qualifications
achieved from new joiners and existing for personnel files and / or HR software.
(b) Printing emails and affixing to physical file
2.2 Assisting with Department Printing/Copying
2.3 Submitting cheque requests as necessary
2.4 Maintaining HR inventory
(a) Arranging storage room
(b) Requesting items for induction
3 Employee Relations
3.1 Distributing staff incentives for (Birthdays, Anniversaries, Get Well and Bereavement
3.2 Coordinating transportation and/or accommodations for temporary overseas staff and
3.3 Providing support for events and department functions as directed
4 Staffing and Retention
4.1 Contacting cleaner substitute as necessary
4.2 Recording absences in the HR database.
4.3 Assisting with the leaver notification process
4.4 Cancelling work permits as necessary
5 Training and Development
5.1 Assist with the execution of the training calendar
(a) Assisting with the scheduling of training sessions, and booking / notifying all relevant
(b) Coordinating with the hospitality team to ensure all training rooms / venues,
equipment, catering arrangements, and other requirements are booked up or
cancelled in advance.
(c) Recording all staff’s training attendance.
5.2 Assist with the development and maintenance of internal training library
(a) Assisting with the printing binding, posting / distribution of training material.
6 Tech Systems and Infrastructure Maintenance
6.1 Performing data entry of pertinent personnel information in the Human Resources
Information System (HRIS)
6.2 Performing corrections, updates and modifications and quality control checks
7 Other duties as assigned which are reasonably within the scope of duties enumerated above
